The Email templates page provides convenient access to a list of the selected company's email templates. It can be accessed through the IOMAD dashboard:

  1. Go to the IOMAD dashboard.
  2. Choose the company whose email templates you'd like to edit from the Select a company dropdown (or use the company selector at the top right of the page).
  3. Click on the Reports tab.
  4. Select Email templates.

Email templates

Email templates define the structure of certain emails that IOMAD will send out. This page provides a list of each email template, with columns stating the Email template name, whether it's Enabled for Managers or Enabled for supervisors, or whether it's Enabled at all. The final column provides a set of various actions that can be taken.

Included in this list is the default language of the email, the View and Edit buttons, and the Reset and Reset all buttons.

Editing/viewing an Email template

The View and Edit pages can be access by clicking the View and Edit buttons in the action column of given email template. These display the same page, with the former showing only greyed-out boxes which cannot be edited.

To, From, CC, and Reply

The first 9 boxes on the Edit page can deal with the To, From, CC, and Reply of the email.

In each case, there is a user-selector box, and a raw email box called Manual To/From/CC/Reply address. There is also a Manual From name, which allows for the implementation of a custom name not otherwise attached to the email address (e.g. Admin user or Do not reply).

The To boxes do not override the email recipient, but are for sending separate emails in addition to the one sent to the intended recipient (such as an Admin being sent a copy of an email sent out to a user or users).

For example, User_FirstName would be replaced by the first name of the user when the email is sent out. Clicking on one of these keywords will insert that placeholder into the text at the location of the cursor.

Re-sending Warning Emails

Warning emails can be re-sent by enabling the Email re-send every near the bottom of the page. Warning emails can be sent out Always, Daily, Weekly, Fortnightly, and Monthly.

The number of warning emails sent out is managed by the Email re-send amount box, which can be any natural number.

The Email re-send day box allows the admin to restrict the sending of warning emails to a single day of the week, Monday through Sunday, or place no restriction at all.

Template Sets

Template sets are groups of saved email templates. They can be applied across companies, or simply stored if the admin might want to return to them later.

Save as new template set
This page will save the current list of templates as a new set, and will prompt the admin for a unique name.
Manage template sets
This page displays a list of existing template sets. Each saved template set can be Edited, Applied to other companies, Deleted, or made the Default template set for new companies.
