The outgoing email report contains a log of all emails sent from IOMAD to company users.

  1. Go to the IOMAD dashboard.
  2. Choose the company you'd like to edit from the Select a company dropdown (or use the company selector at the top right of the page).
  3. Select the Reports tab.
  4. Click on Outgoing email report.

Fields

The report returns:

  • first and last name of the recipient
  • department of the recipient
  • email address of the recipient
  • email template name
  • subject line
  • related course
  • sender first and last name (NB: if the email is generated by the system, this will be tied to the main administrator by default.)
  • date created
  • date due (sometimes this will be different from the date created; for example, if creating a new user whose login details are due to be sent at a later date.)
  • date sent

The time range for this report is restricted to the last 6 months by default.

Filters and functions

Report results can be restricted using the built-in filters.

Report views

Department
Select a department from the "tree" to constrain results to that department's users.
Template type
Select from the list given in the dropdown menu to filter by email template name.
User search
Filter by a search string matching on the user's first name, last name, or email address. There is also the option to match on company-defined optional profile fields if set. Suspended users will be hidden, unless Show suspended users is enabled. This menu also allows you to restrict results between a start and end date - enable either boundary using the tick box, then enter a valid date range.
First/Last name
Filter company users by their first or last initial.

Resend emails

An individual email from the report can be resent by clicking the Resend button in the Controls column.

The Resend all button will mark all emails matching the selected filter criteria as unsent, causing them to be processed again. Depending on how you've restricted the results, this can result in a large number of emails being resent - double-check your filters, and use this function with caution!

Export options

The report can be downloaded using the dropdown options at the top of the page. The following formats are available:

  • comma-separated values (.csv)
  • Microsoft Excel spreadsheet (.xlsx)
  • HTML table (.html)
  • Javascript Object Notation (.json)
  • OpenDocument spreadsheet (.ods)
  • Portable Document Format (.pdf)
