Completion overview report

The Completion overview report provides a run-down of all company users' completion progress at a glance. To run and view the report:

  1. Go to the IOMAD dashboard.
  2. Choose the company you'd like to edit from the Select a company dropdown (or use the company selector at the top right of the page).
  3. Click on the Reports tab.
  4. Select Completion overview report.

Configuration settings

The default settings for the report can be configured via Site administration -> Plugins -> Local plugins -> Completion overview report. Here, you can set the following:

Expired warning limit
(default: 30 days) The length of time before a course's valid to date when it will be marked as approaching expiry in the completion overview report.
Company specific expired warning limit
(default: 30 days) As above, but only applied for the currently selected company.
Show full completion detail
(default: Yes) Toggle whether full completion detail is shown on the report. If set to No, then just the completion and expiry dates are shown.
Highlight course with valid length only
(default: No) If enabled, then courses without a defined expiry date will not be highlighted in the report by default. This can also be toggled on the report page.
Highlight courses with recorded enrolments
(default: No) If enabled, then only courses which have current or previous enrolments will be shown in the report by default. This can also be toggled on the report page.

Interpreting the report

As RAG chart

The report uses a colour code to indicate a user's current status for a particular course. If you hover over the colour indicator for a particular report entry, you can view a tooltip detailing the completion and expiry dates for that user (including those from their previous completions of the course). "Completion" here is defined as any instance where the user met the defined course completion criteria.

Colour code Description
Grey The user has never been enrolled on this course.
Blue This course is in progress - the user has started, but not yet completed the course.
Green The user has completed this course, and their training is within date.
Amber The user has completed this course, but their training is due to expire soon.
Red The user has previously completed this course, but their training has expired.

Two of these colours will be shown depending on the past status for a course and their current status. E.g. Green|Blue will show for a course that is currently in date and a new attempt is in progress, and Red|Blue will show for a course for which the training has expired and a new attempt is in progress.

As a table with text entries

To switch to text-only results, click the Text button at the top of the report page. This will display (if applicable):

  • when the training was completed
  • when the training is due to expire
  • the last date on which the user completed the training
  • the date on which the user's most recent completion expired

Views and filters

The report view can be adjusted using the buttons at the top of the page:

View by course/user
Change the table axes to view results organised by course, rather than by user, and vice versa.
Highlight expire/Highlight all
Highlights any courses where expiry is set (i.e. courses that have a valid length defined).
Highlight courses with recorded enrolments/Highlight available
Toggles visibility of courses which have no enrolments (i.e. empty entries).
Text/Image
Toggle text or RAG view - see above.
Completion report by course
Takes you to the IOMAD report of the same name.
Number of rows
The number of rows per page - choose between the default, 10, 25, 50, or all.

The report can be filtered by course or date search to constrain results to courses matching a particular search string, or date range, respectively. Results can also be filtered by user first and last initials using the first name and last name options.

Export options

The following formats are available using the Download table data as dropdown:

  • comma-separated values (.csv)
  • Microsoft Excel spreadsheet (.xlsx)
  • HTML table (.html)
  • Javascript Object Notation (.json)
  • OpenDocument spreadsheet (.ods)
  • Portable Document Format (.pdf)
