The License management page displays all licenses within a company, and allows the admin to edit, delete, or create licenses. It can be accessed through the IOMAD dashboard:

  1. Go to the IOMAD dashboard.
  2. Choose the company whose license(s) you'd like to edit from the Select a company dropdown (or use the company selector at the top right of the page).
  3. Click on the Licenses tab.
  4. Select License management.

Expired licences can be shown by clicking Shown expired licenses in the top left.

Creating a Licence

Creating a licence for a company requires at least one course to have been created for that company and that the course is set to Licensed = Yes in the Manage_IOMAD_course_settings page.

Only the following fields are required:

License identifier
This a unique alphanumeric key used to identify the license– the admin may want it to be a recognisable name, or a systematised code.
License valid from
This is the date that the license is valid from. A user who has been assigned a license will not be able to access the course until this date.
License expires after
This is the date that the license expires. A user enrolled on a course using this license will have that enrolment removed at this date.
Number of licenses to allocate
This is the maximum number of users that may be granted this license.
Select a course to edit licenses for
This can be one or multiple courses. A user granted this license will be given access to all courses named here.

License is valid for (days) is required for any license type other than Re-usable.

Managing Existing Licences

Outside of creating new licences, the Licence management page shows entries for each existing licence. In the final column of their entry, each of these licences have the option to Edit, Delete, Allocate licenses, or Split. The latter allows the admin to split (i.e. duplicate) the license, and requires a new unique License identifier.

Types of License

There are 3 main license types:

  • Standard - License is allocated by manager. license can only be un-allocated if the license hasn't been used.
  • Re-useable - License is allocated by manager. License can be un-allocated at any time.
  • Blanket - User can self allocate a license by enrolling onto a license accessed course (as long as there are licenses available for allocation). Managers can also allocate licenses to users in the same way as the Standard type.

Other license options

Program licenses grant access to all of the courses assigned to the license at the same time. This is counted as 1 license use. Non program licenses grant access to one or more of the courses at the same time. Each course allocated is counted as 1 license use.

Instant access licenses will enrol the user onto the course(s) at the time the license is allocated to them. These licenses can't then be un-allocated because of this unless the license type is Re-usable.

Course cut off date defines a hard end for a user's enrolment in a course. This overrides the setting calculated from License is valid for (days).

Clear on expire defines whether or all users who have not already been removed from the courses assigned to this license are fully removed or not. Removal means that users can be re-enrolled onto these courses and will undertake them with a completely fresh start.
